5. Cookies and Tracking Technologies
Our websites use cookies, pixels, tracking tags, and similar technologies to support website functionality, measure performance, and deliver and optimize advertising. This section describes how those technologies work and what data they collect.
5.1 Analytics
We use web analytics tools (currently Google Analytics 4) to understand how visitors interact with our websites. Analytics tools may collect your IP address (anonymized), browser and device information, pages visited, time on site, and conversion events such as form submissions. Each of our Venue websites may operate independently configured analytics accounts. This data is used to improve our websites and measure marketing performance. The specific analytics tools we use may change over time; all such tools are subject to this Policy.
5.2 Advertising Pixels and Tags
We use advertising pixels and tracking tags from third-party advertising platforms (currently including Meta/Facebook/Instagram, Google, and TikTok) on our websites. These technologies allow us to:
- Measure the effectiveness of our advertising campaigns across platforms
- Show relevant ads to people who have visited our websites (retargeting)
- Build custom and lookalike audiences for advertising purposes
- Optimize ad delivery based on conversion signals
The specific advertising platforms we use may change as we add or discontinue channels. All current and future platforms used for advertising are subject to this Policy.
5.3 Conversion Tracking and Events APIs
When you submit a contact form on any of our websites, a conversion event is sent to our advertising platforms to measure which campaigns are driving inquiries. We may also use server-side events APIs (such as Meta Conversions API, Google Ads Conversion API, or equivalent tools on other platforms) to improve the reliability of conversion measurement. In some cases, a hashed (SHA-256 one-way encrypted) version of your email address or phone number may be transmitted to an advertising platform as part of this matching process. Hashed data cannot be reversed to recover the original information. This data sharing is used solely for our own advertising measurement and optimization — we do not sell this data or use it to target you on behalf of any third party.
5.4 Campaign Attribution (UTM Parameters)
When you arrive at our website through an advertising campaign, the URL may include UTM parameters (source, medium, campaign identifiers). We capture these parameters and pass them through our inquiry forms into our event management system so we can understand which advertising channels are generating leads. This attribution data is used internally for marketing reporting and is not shared with third parties for their own use.
5.5 Your Cookie and Tracking Choices
Most browsers allow you to control cookie settings. You may also opt out of interest-based advertising through the following:
- Digital Advertising Alliance: optout.aboutads.info
- Google: myaccount.google.com/data-and-privacy
- Meta: facebook.com/adpreferences
- TikTok: tiktok.com/legal/privacy-policy (Ad Settings section)
Note that opting out of interest-based advertising does not remove all tracking — it stops the use of your data for personalized ads but analytics and conversion measurement may continue.
6. Disclosure of Your Information
6.1 Affiliated Venues and Companies
Urban Canvas LLC operates multiple event venues and catering operations under common ownership (collectively, our “Venues”). We may share your personal information among our affiliated Venues for the purposes described in this Policy — for example, to match your event needs to the most suitable Venue or to coordinate a booking. As our portfolio grows, new Venues added under Urban Canvas LLC will be covered by this Policy and treated as affiliates for data-sharing purposes.
We do not share your personal information with unaffiliated third-party events companies for their own marketing or solicitation purposes.

The specific service providers we use may change over time. All service providers are contractually required to use your information only as directed by us and may not use your data for their own independent marketing purposes.
6.3 Legal Requirements
We may disclose your personal information if required to do so by law or in response to valid legal requests, such as a subpoena, court order, or government investigation.
6.4 Business Transfers
In the event of a merger, acquisition, sale of assets, or addition of new Venues or operating entities, your personal information may be transferred as part of that transaction. We will notify you of any material changes to how your data is handled as a result.
6.5 What We Never Do
Regardless of circumstances, we will never:
- Sell your personal information to third parties
- Share your mobile phone number with third parties for their marketing purposes
- Share SMS opt-in consent data with any third party for any purpose
7. Event Management and CRM Data
We use an event management and customer relationship management (CRM) platform as our central hub for all lead, booking, and client data across our Venues. This section describes how your data flows into and is used within that system.
7.1 Data Collected and Stored
When you submit an inquiry through any of our websites, through a third-party listing platform, or through direct communication with our team, the following information is captured and stored in our CRM:
- Contact information: name, email address, phone number, and mailing address (if provided)
- Event details: event type, date, estimated guest count, budget, and venue preference
- Communication history: all emails, notes, and records of interactions between you and our team
- Booking and contract data: signed agreements, payment terms, and event financial records
- Lead source attribution: marketing source and campaign data tied to your inquiry
This system of record may be provided by third-party software. The specific platform we use may change over time; all platforms used in this capacity are subject to this Policy and are contractually required to process your data only on our behalf.
7.2 How We Use This Data
CRM data is used exclusively to manage your event inquiry and booking, assign leads to the appropriate Venue and sales staff, generate proposals and contracts, and support internal financial and commission reporting. It is not used for unsolicited third-party marketing.
7.3 Data Processor Relationship
Any CRM or event management platform we use operates as a data processor on our behalf. We do not authorize these platforms to use your data for their own marketing or to share it with unaffiliated third parties. Their own privacy practices are governed by their respective privacy policies.
8. Third-Party Advertising and Analytics Platforms
We use third-party advertising and analytics platforms to run paid campaigns, measure performance, and optimize our marketing. This section describes how we share data with those platforms and your rights with respect to that sharing.
8.1 What Data We Share and Why
We share the following types of data with advertising and analytics platforms:
- Website behavior data (pages visited, time on site, navigation patterns) collected via tracking tags on our websites
- Conversion events: when you submit a contact form, a lead event is sent to our advertising platforms to measure which campaigns are generating inquiries
- UTM campaign attribution data: source, medium, and campaign identifiers passed through inquiry forms to our CRM
- Hashed contact data: in some cases, a SHA-256 hashed version of an email address or phone number may be sent to a platform’s server-side events API to improve conversion matching. This is a one-way encryption that cannot be reversed.
This sharing is done solely for our own advertising measurement and optimization. We do not sell this data or use it to target you on behalf of any third party.
8.2 Platforms We Currently Use
We currently use advertising and analytics tools from the following companies. Each platform’s data practices are governed by its own privacy policy:
- Google (Google Analytics 4, Google Ads) — policies.google.com/privacy
- Meta (Facebook, Instagram) — facebook.com/privacy/policy
- TikTok — tiktok.com/legal/privacy-policy
We may add or remove advertising and analytics platforms over time. This Policy governs our data sharing practices for all such platforms, current and future. We will update this section when materially new platforms are added.
8.3 One-to-One Consent (FCC Compliance)
In compliance with applicable FCC regulations, when you submit a contact form on our websites, the consent you provide is specific to Urban Canvas LLC d/b/a Culinary Canvas only. We do not use form submissions to obtain consent on behalf of any third-party companies. Conversion data shared with advertising platforms is used solely for our own campaign measurement and does not constitute a lead transfer to those platforms.
8.4 Your Opt-Out Rights
You may adjust your advertising preferences directly with each platform:
- Google: myaccount.google.com/data-and-privacy
- Meta: facebook.com/adpreferences
- TikTok: tiktok.com/legal/privacy-policy (Ad Settings section)
- General opt-out: optout.aboutads.info (Digital Advertising Alliance)
9. Data Retention
We retain your personal information for as long as necessary to fulfill the purposes described in this Policy, to maintain our business records, and to comply with legal obligations. SMS opt-out records are retained for a minimum of four years in accordance with carrier compliance requirements. If you would like us to delete your information, please contact us as described in Section 12.
10. Security
We implement reasonable administrative, technical, and physical safeguards to protect your personal information from unauthorized access, use, or disclosure. However, no data transmission over the internet or storage system can be guaranteed to be 100% secure. If you have reason to believe your information has been compromised, please contact us immediately.
